Position Description:

The duties and responsibilities of the Back Office Payroll Agent include, but are not limited to, the following:

• Enters and maintains Provider W-4 and DE-4 data.

• Enters and maintains Direct Deposit data.

• Enters and maintains Provider deductions such as liens and other withholding orders.

• Enters and maintains Vendor data.

• Reconciles Vendor payments and reports, working with Vendors and Lien-holders as needed.

• Creates and maintains deduction plans and rates.

• Updates County payroll rates.

• Updates payroll and income tax rates.

• Enters and maintains County District Office data.

• Processes rejected direct deposits, including the reissuance of payments.

• Processes requests for W-2 reprints.

• Enters Provider and Recipient data as needed as part of service request resolution.

• Acts as a liaison between CMIPS and State partner agencies in all aspects of payment and tax processing.

• Follows all pertinent policies and procedures.

• Functions positively in a technological and team-based environment.

• Makes suggestions for improvements throughout the business process.

• Follows all guidelines in compliance with security and privacy standards, inclusive of but not limited to FTI, PHI, and HIPAA standards.

• Maintains production standards.

Required qualifications to be successful in this role:


• Minimum 1 year experience in payroll or related operations


• Working knowledge of Microsoft Office programs (Excel, Word, Outlook)

• Must be able to type a minimum of 35 wpm

• Strong interpersonal communication skills with both internal and external customers

• Strong verbal and written communication skills

• Must be able to work overtime as needed

• A proven team player
