Position Description:

Individual needed for a highly collaborative, fast paced position supporting the Contracts and Subcontracts team. The candidate will be a key partner in maintaining critical administrative systems and processes for the team. Candidate will act as the Program Manager for the team's Contract Management System, to understand its function, the architecture and business rules in order train, update, and run reports on the System. Must be able to work in a reactive environment, as well as plan and execute long lead time projects.

Your future duties and responsibilities:

Contract Management System:

  • Document and support the Contract Management System infrastructure; Identify and collect system glitches; Develop and install fixes

  • Organize and facilitate the Configuration Control Board (CCB); Provide recommendations to them for major system revisions; Catalogue and prioritize requested changes to CMS; establish the agenda and chair the CCB

  • Conduct new user training on the Contract Management System and periodic refresher training for existing users

  • Document procedures and provide guidance for CMS standards; Identify and create reports in response to requests and management needs

  • Provide system monitoring and periodic audit to ensure compliance of the data entered by the users; Convene and lead a monthly peer audit team and coordinate the communication to the users on errors

  • Troubleshoot issues for the users

Compliance and Reporting Duties:

  • Verify that submitted resumes justify the requested contract labor mapping; Responsible for audit preparations and documentation: Conduct user training on the labor mapping system in FRMS

  • Assist the Corporate Contracts Director with the mandatory semi-annual and annual reporting - small business, manpower, and IFF/CAF

  • Maintain and monitor registration systems

Administrative Duties:

  • Provide administrative and logistics support to the monthly all hands sessions; bi-weekly Director's meetings; and other team related functions; provide onboarding support to all new hires in the team

  • Provide administrative support to the Directors as needed.

Required qualifications to be successful in this role:

3+ years of experience in fast paced, office environment. Strong analytical ability and organizational skills. Ability to multi-task in a high paced environment. Strong written and verbal communication skills a must. Ability to work well in a collaborative business environment with peers within the Contracts and Legal team as well as business developers and project teams. Expert-level experience with MS office packages. Must have Sharepoint knowledge.

Working to expert knowledge of standard office automation software (email/MSWord/MSExcel,etc.). Adhere to standard work hours of 9:00 AM EST to 5:00 PM EST. Teamwork is critical. Must maintain a positive and professional demeanor at all times.
