Position Description:
CGI Federal’s Housing Sector team that partners with public housing authorities (PHAs) and the U.S. Department of Housing and Urban Development (HUD) to assist in the provision of affordable housing has an opening for an Administrative Assistant.
This is an opportunity to join an energetic team with a collaborative management group and work with affordable housing providers.
New team members receive in-depth training to prepare them for their role. Additional training and professional development opportunities are also available, for both the affordable housing industry, and general business skills.
**Must be in the office 5 days a week. **
Your future duties and responsibilities:
Responsibilities will include but not be limited to performing a wide variety of complex, and confidential administrative duties at the direction of the Director and Deputy Director. Other duties maybe assigned.
• Prepare Board of Commissioner meeting packets and related items.
• Principles and practices supporting one or more executive manager.
• Screen visitors and telephone calls to determine nature of business and inquiry.
• Respond to inquiries and complaints and personally resolve matters.
• Write letters, memoranda, newsletters, and notices independently.
• Schedule appointments/meetings, maintain calendar, and book travel arrangements.
• Research, compile and organize information necessary for the completion of reports and practices; may prepare analyses.
• Take minutes of management meetings and organize notes of discussion into summarized statements and prepare agenda.
• Maintain a variety of office files, records, statistical data, including confidential materials.
• Handle and secure confidential information and release information to authorized parties.
• Perform routine clerical tasks such as filing, duplicating, photocopying and assembling bulk mail.
• Participate in Team meetings.
• Escalate all issues that need immediate supervisory attention.
• Adhere to all policies and procedures.
• Work closely with other team members to provide high level of customer service.
Required qualifications to be successful in this role:
• Must be in the office 5 days a week.
• MUST be proficient in Excel, Word and PowerPoint.
• Associate’s Degree (Bachelor’s degree preferred) from an accredited college or university in Business or Public Administration, Social Sciences or related field.
• At least one to four years of substantial, increasingly responsible administrative support experience, which includes exercising initiative and independent judgement within broad parameters of legal, policy, and procedural guidelines.
• Modern office practices and procedures.
• Proficient in Microsoft Office products.
• Desktop publishing, notary license, and general knowledge of the mission of a housing authority and the population it serves is highly desirable.
• Organization and records management skills.
• Demonstrated ability to use time-management skills to achieve success with schedules, workloads and deadlines.
• Ability to utilize organizational skills to manage all aspects of a client's case; including tracking activities, updating records and monitoring outcomes. Must manage files and documents, follow recordkeeping requirements and maintain confidentiality.
• Highly proficient data entry and computer skills along with the ability to use and manage computer files, use databases, create spreadsheets and prepare presentations.
• Must have aptitude to become proficient with proprietary database operations and demonstrate functional proficiency in use of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
• Strong interpersonal, written and verbal communication skills and the ability to forge positive relationships with clients, co-workers and colleagues.
• Must demonstrate excellent listening skills, presentation and public speaking skills and the ability to share information effectively to diverse groups.
• Must possess strong writing skills to compose documents, reports and correspondence.
• Due to the nature of this US government contract, US Citizenship is required.

The determination of this range includes various factors not limited to skill set level, experience and training, and licensure and certifications. To support the ability to reward for merit-based performance, CGI typically does not hire individuals at or near the top of the range for their role. Compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range for this role in the U.S. is $15.86 - $26.20.
