**Position Description:**
CGI Federal is seeking a Secretary III to support the Community Relation Services (CRS) division of DOJ in Denver, CO.
Your future duties and responsibilities
• Provide administrative and clerical support to all civilian employees assigned to the component (Regional/Field office staff). The secretary will assist other senior staff members on occasion, with correspondence and administrative matters.
• Maintains a close and highly responsive relationship with the supervisor and staff and provides administrative support for their day-to-day activities. Works fairly independently, receiving a minimum of detailed supervision and guidance. Performs varied clerical and secretarial duties requiring knowledge of office routine and an understanding of the organization, programs, and procedures related to the work of the office.
• Carries out recurring office procedures independently, by using greater judgment and initiative to determine the approach or action to take in non-routine situations. Interprets and adapts guidelines, including unwritten policies, precedents, and practices, which are not always completely applicable to changing situations. Duties include or are comparable to the following:
• Anticipates and prepares materials needed by the supervisor for conferences, correspondence, appointments, meetings, telephone calls, etc., and informs supervisor on matters to be considered;
• Reads publications, regulations, and directives and takes action or refers those that are important to the supervisor and staff;
• Prepares special or one time reports, summaries, or replies to inquiries, selecting relevant information from a variety of sources such as reports, documents, correspondence, other offices, etc., under general directions;
• Prepares travel authorization and vouchers for staff using an automated travel system;
• Researches supply needs, generate spreadsheets and forms with supply details for ordering purposes;
• Prepares documentation and report requests related to Non-IT related property and GSA Fleet program;
• Supports regional offices in the area of records management, conferences, reports, inquiries, etc.
• Performs other duties assigned that are administrative in nature.
Required qualifications to be successful in this role
• Editing and proofreading skills required.
• Knowledge and understanding of administrative support functions.
• Required to be proficient in office products, such as internet/intranet, Word, Excel and PowerPoint for secretarial/word processor/spreadsheet/data base/power point requirements. Must be able to save, retrieve, edit, and present text, spreadsheets and/or charts. Prepares in final format, correspondence, statistical and managerial reports.
• Must be proficient in grammar, spelling and punctuation and is also required to produce printed materials accurately.
• Education – high school or equivalent.
• General Experience – 2 years of progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position to be filled.
• Specific Experience – 1 year experience that provides the particular knowledge, skills, and abilities to perform successfully the duties of the position to coordinate a wide-variety of clerical duties.
• All candidates must be able to obtain a DOJ MRPT clearance and meet all security requirements.
Hourly Rate: $26.68/hour (non-negotiable)

Required qualifications to be successful in this role

• Excellent written and communications skills.

**Your future duties and responsibilities:**
• Operate various equipment for high-speed scanning, mail out, and metering of mail.
• Prepare and mail envelopes with correct passport and corresponding supporting documents.
• Box and archive files for storage purposes.
• Interface with passport applicants at Agency/Center Information and Will-Call counters:
o At the Information Station, ensure appointment is scheduled;
o Review passport application, photograph, identification and supporting
documentation for completeness prior to adjudication;
o Ensure the application and documents comply with Passport requirements,
photograph meets Passport standards, and customer is provided fee information.
• Prior to distributing to applicants, print and review passport books for accuracy and quality.
• Process refund/reimbursement requests.
• Generate a credit card payment from the applicant and distribute completed batches to the Cashier’s Office. Verify all completed transactions and run designated reports.
• Assist with Acceptance Agent training: prepare training materials, conduct “meet-and- greets,” set-up training sessions, conduct office tours, etc.
• Assist CSM in maintaining and cataloging electronic records of passport acceptance facilities.
• Contact applicants to request necessary documents.
• Resolve undeliverable mail items by contacting the customer and appropriately documenting all actions taken in a SharePoint application.
• Per the guidance of DOS Passport Specialists, generate correspondence to resolve application discrepancies, including: Return to Sender (RTS), Rewrites and Re-issues, and re-batch into the system.
**Required qualifications to be successful in this role:**
• Bachelor’s Degree
• Four years of general office experience: follow a number of specific procedures in completing several clerical steps performed in a prescribed or slightly varied sequence, such as coding and filing documents in an extensive alphabetical file; simple posting to individual accounts; opening mail; running mail through metering machines; and calculating and posting charges to departmental accounts
• Three years of experience utilizing a variety of office software, specifically Microsoft Office
• Capable of performing tasks while maintaining a high level of accuracy
• Ability to work in one place and traverse the office on a continuing basis
• Must maintain constant awareness of all aspects of internal and external security
• Ability to successfully complete the CGI Background Investigation to include: 50 State Criminal, Education and Employment checks; additionally, your ability to successfully complete a Credit and/or Driving Records check may be conducted if required by the contract for continued employment
• Due to the nature of the government contract requirements and/or clearance requirements, US citizenship and an ability to obtain an MRPT clearance is required.
